Meeting Room or Hotel Conference Room: What Should You Book?
A coworking meeting room runs about ₹1,800 an hour. A hotel banquet room comes with a minimum spend and a per head food bill. When each one is the right call.
You need a room for six people and two hours. Or for thirty people and a full day. Those are completely different bookings, and the second one is where people overpay.
What each actually costs
Across the 555 meeting rooms on Dexwork, the median is ₹1,800 an hour, with the better rooms at ₹3,500 and up. Most coworking plans include a few hours a month before that clock starts.
Hotels price differently, and that is the whole point. You are rarely quoted a clean hourly rate. You get a half day or full day hall charge, plus a minimum food and beverage spend per person, plus taxes, plus charges for a projector and a microphone that a coworking space hands over for free.
The hall can look reasonable. The per head catering is what moves the total, and it is usually not optional.

What the hotel is actually selling you
Not the room. The room is the cheap part. You are paying for food for thirty people, a person who sets it up, a lobby your client recognises, parking, and the fact that nothing is your problem for eight hours.
For an offsite or a customer event, that is worth the money. For four people talking for two hours, you are buying a buffet you did not want.
Three ways teams overpay
Not using the hours they already have. Coworking plans include meeting room credits and teams forget, then book fresh. Check your allowance before every booking.
Booking a boardroom for four people. Room rates scale with seats. A four seater costs a fraction of a twelve seater, and the conversation is the same.
Paying by the hour every week. If you are past roughly ₹20,000 a month on rooms, a plan with a bigger credit allowance, or a cabin with its own room, works out cheaper and removes the weekly scramble.
One practical tip for the hotel route
Ask for the total, in writing, with taxes and the food minimum included, for your exact headcount. Hotels quote the hall charge first because it is the flattering number. The total is often twice it, and it is far easier to negotiate before you have mentally booked the place.
