Meeting Room Rent Per Hour in India: What You Should Actually Pay

Meeting room pricing is the least transparent number in Indian workspace. The same eight seater with a screen and a whiteboard is ₹475 an hour at one operator and ₹4,500 at another, in the same city, sometimes in the same building.

By city, per hour

Chennai is the most expensive city for meeting rooms at the median and Gurgaon the cheapest. Within every city the spread is three to five times, which tells you the city is not what you are paying for.

By operator, per hour

Awfis at ₹475 and WeWork at ₹4,500 is a ninefold gap. Ten hours a month is ₹4,750 against ₹45,000. Over a year that is ₹4.8 lakh, for rooms that both have a table, chairs and a screen. The city median sits near ₹1,000, so anything over ₹2,500 an hour is a premium you should be choosing on purpose.

What you are actually paying for

• Seats. A four seater and a twenty seater are different products. Do not book a boardroom for a two person interview.
• The building. A room in a Grade A tower in BKC costs what the tower costs.
• Kit. Video conferencing, a proper display and a decent camera cost more than a screen on a stand.
• Time of day. Some operators price mornings higher, and most have a minimum booking of one or two hours.

Five ways to pay less

1. Use your credits first. Most coworking plans include a few hours a month. Teams routinely forget and book afresh.
2. Match the room to the meeting. Interviews need four seats, not twelve.
3. Book off peak. Rates and availability are both better before 11am and after 4pm.
4. Buy a bundle. If you need ten hours a month, ask for a monthly package rather than paying by the hour.
5. Take a day pass instead. At about ₹400 for a full day with access to phone booths and common areas, a day pass beats two hours in a boardroom for many meetings.

When to stop renting by the hour

Add up last quarter. If you are past roughly ₹20,000 a month on rooms, a private cabin with its own meeting space, or a coworking plan with a bigger credit allowance, works out cheaper and removes the booking scramble before every client call.
